Sorting through 50+ articles to perform daily tasks
With a rapidly growing client base across their core markets, the company’s internal processes were increasingly getting in the way of client-facing responsibilities. They stored their deal information in an external knowledge management system. While team members needed to efficiently process and analyze large volumes of data during deal sourcing and screening. Scattered data made it difficult to make quick, informed decisions. In addition, deal representatives often had to sort through over 50 articles so they could find answers and steps to perform daily tasks.
To onboard clients faster and access complete deal information with ease, the company needed a simpler, technology-driven solution to streamline operations and support their growth.
SOLUTION:
AI-powered support for deal efficiency and internal knowledge access
To address these challenges, we built an AI solution powered by Agentforce within the company’s Salesforce environment. At the core of this solution, we created a centralized data library, laying a scalable foundation for future enhancements and advanced use cases. The solution had two key components:
1. Intellignt FAQ agent for internal support
The first component focused on helping deal representatives resolve day-to-day roadblocks. Whether they needed guidance on how to create a deal in Salesforce or log into their email using a plug-in, the AI-powered FAQ agent acted as a reliable support resource.
We ingested relevant documentation by converting content from their external knowledge management system into PDFs and uploading it into a searchable data library. This enabled the agent to reference only verified content when responding to queries—ensuring it never fabricated information. With the FAQ agent present on every Salesforce screen, it functioned as an on-demand mentor, providing precise, article-based answers whenever users needed assistance.
2. AI-powered deal intelligence and data retrieval
The second component leveraged AI to help representatives retrieve and analyze deal-related data directly from Salesforce. Users could now ask natural language questions like, “Can you summarize the XYZ deal?” or “How many contacts are associated with this company?”—eliminating the need to manually search or navigate across multiple records.
We also developed a custom prompt template to standardize deal summaries, pulling in related contacts, account information, and deal forecasts into a clean, easy-to-digest format. This saved significant time and made deal analysis far more efficient.
By allowing users to query data through a conversational interface, the AI agent significantly reduced manual effort. It eliminated the need to use the search bar and sift through multiple records to extract relevant information, and it brought consistency to how deal data was accessed and presented.
RESULTS:
Streamlined onboarding and smarter deal intelligence
Post-implementation, the capital partner company experienced much greater efficiency in accessing and utilizing Salesforce data. The AI solution operated within a secure environment, ensuring sensitive deal information remained confidential. The models were trained on company-specific data and structured to function accordingly, aligning with internal workflows and data privacy standards. As a result, deal team representatives can now:

- Access summarized, structured information with a single query—saving time and reducing cognitive load.
